We are currently seeking an executive assistant (EA) to join our team and support the Partners and team (across 2 offices – Dublin and Cork) in our Financial Accounting Advisory Services.

The FAAS team are a group of proactive accounting specialists who are focused on providing practical solutions to our client's on complex financial reporting issues. Our FAAS team must be able to respond quickly to fast moving business processes and timelines – whether assisting with advice related to transactions or working to tight financial close deadlines.

The candidate will be energetic and personable and keen to learn as well as flexible to deal with changing priorities. The candidate will work alongside our existing Executive Assistant and share and split tasks and provide cover for each other.

Role responsibilities:

* Extensive management of multiple diaries – effective management of the Partners daily schedules and planning through prioritisation of appointments
* Professional management of all correspondences, filtering and prioritising urgent matters
* Supporting the operations of the team including maintenance of Staff Planner Board and ad hoc time reporting for team members who may be unable to report on time system
* Management and reconciliation of monthly expenses for Partners
* Customer Relationship Management (CRM) – Manage and maintain system for the team
* Arrange all domestic and international travel for Partners and Directors.
* Organisation and coordination of internal and external meetings
* Manage the administration of external events including team off-sites and client lunches
* Attend team meetings where appropriate and take minutes
* Preparation of presentation slides and material
* General administration duties including filing, typing and distribution of documents
* Some Invoicing / Billing
* Sourcing and ordering stationary and office equipment
* Managing various Ad-hoc duties

Skills and attributes:

* Excellent organisation and time management skills in a fast paced environment
* Administrative experience
* Ability to communicate professionally at all levels
* The ability to multi-task and manage work flows, prioritise and work well under pressure
* Discretion and the ability to handle confidential subjects, issues, emails and documents
* Strong client focus with excellent oral and written communication skills
* Flexible and adaptable to learning/taking on new tasks and responsibilities
* Work on own initiative
* PC Skills – Microsoft Office
* High level of commitment
* Excellent interpersonal skills

This is a hybrid role with 3 days in the office and 2 days at home.
